Who we are
Havenz Hub is a workspace and building management platform operated by Havenz (Calgary, Alberta, Canada). It is used by organizations and their invited members to manage documents, tasks and workflows, teams and access, and connected buildings. This policy explains what information the platform handles and how. Questions and requests can be sent to inquiries@havenztech.com.
Information we collect
- Account information: your name, email address, role, and the organization (company), departments, and projects you belong to.
- Content you and your organization create: documents and files uploaded to the platform, document review and approval records, tasks, workflow records, and comments.
- Authentication and security data: password (stored as a hash by our identity provider), multi-factor authentication settings (such as authenticator app enrollment and backup codes), trusted-device records, and sign-in events.
- Face templates (optional): if your organization uses face-based building access and you choose to enroll, we store a biometric face template used only to recognize you at access points. Enrollment is optional, and your template can be deleted — remove it in the app or ask your administrator or inquiries@havenztech.com.
- Building and device data: readings from sensors and devices in connected buildings (for example temperature, occupancy, door/contact events) shown on dashboards and used for building features.
- Cookies and session data: a session token cookie that keeps you signed in, and locally stored preferences (such as theme and dashboard layout). We do not use advertising or cross-site tracking cookies.
Google user data
Havenz Hub offers optional Google features. If you use them, we access the following through Google’s APIs:
- Google sign-in: your Google account email address and basic profile (name and profile picture), used only to sign you in to your existing Havenz Hub account and display your profile.
- Google Calendar (optional): if you choose to connect your calendar, we read your Google Calendar events (read-only) to show your upcoming events on your Havenz Hub dashboard. We do not create, change, or delete events.
We use Google user data only to provide these features to you. We do not sell Google user data, do not use it for advertising, do not use it to train generalized machine-learning models, and do not transfer it to third parties except as needed to provide the feature (for example, our hosting infrastructure), to comply with law, or as part of a merger or acquisition with notice to you. Humans do not read this data except with your permission, when required for security or legal reasons, or in aggregated, anonymized form.
You can disconnect Google at any time: in Havenz Hub under Settings → Security → Sign-in & connected accounts, or by revoking Havenz Hub’s access from your Google account permissions page. Disconnecting deletes the stored Google tokens; calendar data is not retained after disconnection.
Havenz Hub’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
- To provide the platform: documents, workflows, tasks, dashboards, and building features.
- To authenticate you and keep accounts secure (including MFA and sign-in protection).
- To operate optional features you enable, such as Google Calendar or face enrollment.
- To maintain and troubleshoot the service (logs and error reports).
We do not sell personal information and we do not use it for advertising.
Where data is stored and how it is protected
The platform is hosted on Google Cloud infrastructure. Data is encrypted in transit (HTTPS/TLS), access is scoped to your organization, every account is protected by multi-factor authentication, and access within Havenz is limited to personnel who need it to operate the service.
Data retention and deletion
Account data and organization content are kept while your account and your organization’s subscription are active. When your account is removed, or on request, we delete personal data unless we are legally required to keep it. Face templates are deleted immediately when you un-enroll or when your account is removed. To request access to, correction of, or deletion of your data, contact inquiries@havenztech.com — we respond to verified requests within 30 days.
Changes to this policy
If this policy changes, we will update this page and its “last updated” date. Material changes will be announced in the app.
